Opportunity: 

The Travel Manager is a full-time role responsible for overseeing and managing all travel-related logistics for LIFE SURGE’s nationwide operations. This includes employee and independent contractor (IC) travel coordination, administering Concur, reconciling travel expenses, managing reporting, and overseeing vendor relationships. This role is essential in ensuring a seamless, compliant, and cost-effective travel experience for our teams and partners. The ideal candidate is detail-oriented, tech-savvy, proactive, and highly organized, with excellent communication and project coordination skills. 

Responsibilities: 

  • Add new hires and remove off-boarded employees from Concur. 

  • Update approvers and credit card details when departmental changes occur. 

  • Adjust organizational units to ensure travelers are properly aligned by department. 

  • Provide support to Concur users by answering questions and resolving issues. 

  • Approve or reject flights that fall outside of the travel policy. 

  • Manage end-to-end travel logistics for staff, speakers, and ICs attending LIFE SURGE classes and events. 

  • Review weekly IC schedules to confirm all required bookings are completed. 

  • Proactively reach out to individuals who have not booked travel, and either book on their behalf or request removal from the event roster. 

  • Prepare and distribute travel itineraries; troubleshoot issues as needed. 

  • Book travel directly for staff or ICs who request assistance or do not use Concur. 

  • Take over booking responsibilities from department coordinators where needed. 

  • Utilize Concur to track and reconcile all travel-related expenses in accordance with internal policies. 

  • Record and monitor flight costs for each Impact Class and update tracking spreadsheets. 

  • Identify policy violations and manage billbacks for airfare overages. 

  • Review rental car reports and reconcile ET/ZL bills to Airbase. 

  • Monitor and update travel schedules based on real-time changes. 

  • Maintain transportation matrices and finalize rooming lists for each event. 

  • Ensure internal stakeholders are promptly informed of travel adjustments. 

  • Maintain organized records of all travel bookings, contracts, and itineraries. 

  • Process invoices and monitor travel-related budget performance. 

  • Manage the unused ticket database, ensuring proper use and tracking. 

  • Submit monthly and quarterly travel cost summaries through reporting systems and tools. 

  • Ensure visibility into travel workflows through appropriate administrative systems. 

  • Oversee relationships with airlines, hotels, car rental agencies, and other vendors. 

  • Assist with onboarding new travel service providers. 

  • Negotiate favorable terms and service agreements for LIFE SURGE. 

  • Attend weekly logistics L10 and departmental sync meetings. 

  • Work closely with purchasing, events, and operations teams to align travel logistics with overall plans. 

  • Communicate travel status and updates across teams. 

Qualifications: 

  • 3+ years of experience in travel coordination, event logistics, or hospitality. 

  • Proficiency with Concur or similar travel/expense management platforms. 

  • Familiarity with Microsoft Excel, SharePoint, and Google Workspace. 

  • Ability to manage complex itineraries across multiple departments and locations. 

  • Strong communication, organizational, and analytical skills. 

  • Knowledge of corporate travel best practices and compliance standards. 

  • Alignment with the mission and values of LIFE SURGE. 

  • Experience supporting travel logistics for large-scale, multi-location events. 

  • Experience working with travel vendors, agencies, or third-party logistics providers. 

  • Familiarity with project management tools such as Asana. 

  • Background in travel coordination for education, nonprofit, or event-based organizations is a plus. 

  • Ability to prioritize, self-direct, and meet deadlines in a fast-paced environment.
